Advanced Bionics - July 2008
Background - Advanced Bionics is a Bio-Medical corporation that builds Cochlear Implants which allow deaf people to hear. Their website is http://www.advancedbionics.com/. Matrix scanned a large amount of backlog for Advanced Bionics over the past 3 years. I would say about 1.5TB which is probably in the neighborhood of 3-4 million images. Advanced Bionics has scanned in an additional 2TB worth of images since then. AB uses the latest version of both Ascent Capture and Application Xtender to accomplish this task. They scan all of their images in grayscale on Kodak scanners. They have both i620's and i280's.

Their Need - Last year a big part of Advanced Bionics got bought out by another company "Boston Scientific". Included in the purchase was the document control department so Advanced Bionics needed Matrix to replicate their entire process and duplicate all of their data so they will have their own set of data once the split was complete. Advanced Bionics purchased all new servers, workstations, scanners, Ascent License, and AX/WX licenses.

The Task
- Matrix assisted in building a new system from the ground up that replicated what Advanced Bionics had sold to Boston Scientific. The first step was to make sure both companies were on the latest version of software. This involved upgrading all of the software at Boston Scientific to the newest versions which are Ascent 7.5 and AX/WX 5.3. Then with the help of Jason Samson, one of AB's programmers and a lead IT person Matrix was able to duplicate the entire system. Matrix did this by backing up the old database and restoring it onto the new server. We used the latest file syncing program's to verify every image was copied over to the new servers. Then we upgraded the database to the newest version and re-installed all of the workstations. We then did the same for Kofax.

The Catch - Advanced Bionics needed this done with as little downtime as possible. On a system as big as theirs, this can be challenging. To accomplish this Matrix left the old system up and running while we upgraded and moved their database and files. We used a file sync program to insure that any new documents that may have been added while we did the moved were also added to the new database and files. Then on a Friday when the company was closed and on the Saturday that followed, Matrix upgraded all of their workstations and configured their scanners to the new machines. We then had to re-point all of Advanced Bionics machines to their servers and all of Boston Scientifics machines to their servers. We called this "The Split". When the employees came in Monday, everything was ready for them.

The Conclusion - "During a recent corporate separation, our IT department had numerous system migrations and implementation challenges to manage, including a complex array of document management software and hardware. With multiple Terabytes of documents to clone and migrate to a new server environment, along with requirements for purchasing, installing, and configuring document capture systems across multiple departments during a firm one week blackout window, I would not be exaggerating to say that we could not have accomplished all of this without the expert services and dedicated support of Matrix Imaging. They were amazing."

Matrix Imaging Chosen By UCLA Project Team As Sole Provider
